1. Who we are
cnffastfile.ca (the "Site") is operated by Arora 297 Consultancy ("we", "us"), a regulatory affairs consultancy based in Ontario, Canada. Contact: info@arora297consultancy.com · +1-519-498-5957.
2. What this Site is
The Site describes our cosmetic regulatory services and lets you request a free assessment. Using the Site does not create a consulting relationship. A consulting relationship begins only when we issue a written quotation, you accept it, and our Service Agreement applies.
3. Information is general, not advice
Content on this Site — including guidance about the Cosmetic Notification Form (CNF), the Cosmetic Ingredient Hotlist, labelling rules and regulatory deadlines — is general information for business audiences. It is not legal advice, not a safety or toxicological assessment, and not a substitute for professional review of your specific product. Regulations change; we make no warranty that Site content is current or complete at any given moment. Always consult the official sources at canada.ca and, where appropriate, a qualified professional.
4. The free pre-screener
Important: The instant pre-screening tool on this Site performs a simple name comparison between the text you enter and entries on Health Canada's Cosmetic Ingredient Hotlist. It runs entirely in your browser; nothing you type is transmitted to us or stored.
- It reports possible name matches only. It does not assess concentrations, product type, conditions of use, labelling requirements or product safety.
- A "no match" result is not a compliance clearance. The Hotlist is administrative and not exhaustive, and matching depends on the exact ingredient names you enter.
- A match is not a determination that your product is non-compliant.
- The tool must not be relied on for any regulatory, purchasing, formulation or commercial decision. Only a full professional screening — with human review — can support such decisions.
We accept no liability for decisions made on the basis of pre-screener output.
5. The AI assistant
The chat assistant on this Site is powered by an artificial-intelligence language model. It answers questions about our service, pricing and process. It may produce inaccurate statements, and it does not review formulations or provide regulatory determinations. Nothing it says is advice or a binding offer; our written quotation prevails in all cases. Do not paste confidential formulation details into the chat — use the contact form or WhatsApp instead. Chat messages are processed by our AI provider to generate replies.
6. Pricing
Prices shown are indicative starting prices in Canadian dollars, exclusive of applicable taxes, and may change without notice. Binding pricing is provided only in a written quotation, which is valid for 30 days. Health Canada does not charge a government fee for cosmetic notifications; our fees are for professional services only.
7. Intellectual property
All content, design, text, logos, tools and software on this Site are owned by Arora 297 Consultancy and protected by copyright. You may not copy, reproduce, republish, scrape or reverse engineer any part of the Site, including the pre-screening tool and its underlying data compilation, without our written permission. "CNF FastFile" and the CNF FastFile logo are our trademarks.
8. Acceptable use
You agree not to use the Site to submit unlawful, misleading or infringing content, to attempt to gain unauthorised access to our systems, to overload or abuse the chat assistant or forms, or to use automated means to extract data from the Site.
9. Limitation of liability
To the maximum extent permitted by law, the Site is provided "as is" and "as available", without warranties of any kind. We shall not be liable for any indirect, incidental, special or consequential damages, or for lost profits, lost data, product recall or reprinting costs, or regulatory penalties, arising from your use of this Site or reliance on its content or tools. Our total liability arising from the Site (excluding paid engagements, which are governed by our Service Agreement) shall not exceed CAD $100.
10. Third-party links and services
The Site links to third-party sites (including canada.ca and arora297consultancy.com) and uses third-party services for hosting, form delivery and AI chat. We are not responsible for third-party content or practices.
11. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. The courts of Ontario have exclusive jurisdiction. We may update these Terms at any time; the version posted here governs.
Privacy Policy
1. Our approach
We collect the minimum information needed to respond to your enquiry and deliver our services, and we never sell personal information. We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
2. What we collect
- Contact form: your name, company, email, phone, location, number of products and whatever you write in the message field. This is delivered to our email inbox by our form provider (FormSubmit).
- AI chat: the messages you type. These are sent to our AI provider (Anthropic) to generate a reply, and may be handled by our hosting provider (Cloudflare) in transit. Do not enter confidential formulations or personal data you would not want processed this way.
- Pre-screening tool: nothing. Ingredient text you enter is processed locally in your browser and is never transmitted to us or stored anywhere.
- Technical data: our host (Netlify) records standard server logs such as IP address, browser type and pages requested, for security and performance purposes.
- Client engagements: if you become a client, we collect the business and product information needed to prepare and file your notification, including formulations, contacts and label artwork.
3. How we use it
To respond to enquiries, prepare quotations, deliver our services, file notifications with Health Canada at your direction, meet our record-keeping obligations, and improve our services. We may send you service-related emails. We will not add you to marketing mailings without your consent, and any such mailing includes an unsubscribe link.
4. Confidentiality of formulations
Client formulations are treated as strictly confidential business information. They are shared only with Health Canada as required to file your notification and at your instruction, and internally only as needed to perform the work. A mutual non-disclosure agreement is available on request before you send anything.
5. Who we share with
We share personal information only with: service providers who operate this Site and our communications (hosting, form delivery, AI chat, email, analytics and advertising measurement, payment processing), each bound by their own terms; Health Canada, where you engage us to file on your behalf; and where required by law. Some providers process data outside Canada, including in the United States, where foreign authorities may be able to access it under applicable law.
6. Payments
Payments are processed by Stripe or by bank/Interac e-Transfer. We do not receive or store your full credit card details.
7. Retention
Enquiry information is kept for up to 24 months. Client engagement records, including notification submissions, are kept for at least 7 years to meet professional and regulatory record-keeping expectations, then securely destroyed.
8. Cookies
This Site uses the Google tag (gtag.js) for analytics and advertising measurement, which sets cookies to record how visitors reach and use the Site — including whether a visit followed a Google Ads click and whether it resulted in an enquiry. This data is processed by Google and may be transferred outside Canada. We use it in aggregate to measure advertising performance, not to identify you. You can block these cookies through your browser settings or an ad-blocker without affecting your ability to use the Site or contact us. We do not use cookies to build advertising profiles of visitors ourselves.
9. Your rights
You may request access to the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to retain it. Contact info@arora297consultancy.com. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
10. Security
We use encrypted connections (HTTPS), access controls and reputable providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Regulatory Disclaimer
A Cosmetic Notification Form is a mandatory notification under section 30 of the Cosmetic Regulations — it is not a Health Canada approval, licence or endorsement of your product. Receiving a Cosmetic Number does not mean your product has been assessed as safe or compliant. The Cosmetic Ingredient Hotlist is an administrative tool and is not exhaustive; the general prohibition in section 16 of the Food and Drugs Act applies at all times. Under the Cosmetic Regulations, final responsibility for the safety and compliance of a cosmetic rests with its manufacturer and importer. Our services support that responsibility; they do not transfer it.
